PART 1 — Understanding a Visa
1. What Is a Visa?
A visa is an authorization or permission issued by a country's competent authority that allows a traveler to seek entry into that country for a specific purpose and under specific conditions.
A visa does not automatically guarantee entry. Final admission is generally determined by the relevant border authorities upon arrival.
2. Why Do Travelers Need a Visa?
Depending on the traveler's nationality, destination, purpose of travel, and duration of stay, a visa may be required before traveling.
A traveler may need a visa to:
Visit a country as a tourist
Visit family or friends
Conduct business
Study
Work
Transit through a country
Receive certain types of medical treatment
Join specific programs or activities
Agent reminder: Never assume that every traveler with the same passport has exactly the same visa requirements. Requirements can depend on nationality, residence status, destination, travel purpose, and other circumstances.
PART 2 — Common Types of Visa
Agents should understand the purpose behind each visa category.
1. Tourist / Visitor Visa
Generally used for temporary travel such as:
Tourism
Sightseeing
Holidays
Visiting attractions
Visiting family or friends, where permitted under the applicable visitor category
This is one of the most common visa categories handled by travel agencies.
2. Business Visa
Generally intended for permitted business-related activities such as:
Business meetings
Conferences
Negotiations
Trade events
Professional activities permitted under the visa conditions
Important: A business visa should not automatically be treated as permission to work.
3. Student Visa
For travelers who intend to undertake studies or educational programs that require a student visa.
4. Work / Employment Visa
For travelers who have authorization to work in the destination country.
This often involves an employer, sponsor, work permit, or other authorization.
5. Transit Visa
For travelers passing through a country while traveling to another destination, where a transit visa is required.
6. Family / Visit Visa
Used in certain countries for travelers visiting relatives, friends, or sponsors.
Requirements can vary significantly depending on the destination.
7. Medical Visa
For travelers seeking medical treatment when the destination country requires this type of visa.
8. Immigrant / Long-Term Visa
Generally associated with longer-term residence, settlement, or immigration.
This is different from a normal tourist visa.
PART 3 — Tourist Visa
What Is a Tourist Visa?
A tourist visa generally allows an eligible traveler to enter a destination temporarily for tourism-related purposes, subject to the conditions of the visa.
Examples of tourist activities may include:
Sightseeing
Vacation
Visiting tourist attractions
Cultural activities
Short leisure trips
A tourist visa does not normally authorize employment.
PART 4 — How to Determine the Correct Visa
Before recommending a visa service, the agent should conduct a basic Visa Assessment.
Ask the Customer:
1. What is your nationality?
Example:
“May I know your nationality and the passport you will be traveling with?”
2. Where are you currently residing?
For example:
Philippines
UAE
Other country
3. What country are you planning to visit?
4. What is the purpose of your trip?
“Is this for tourism, visiting family, business, study, work, or another purpose?”
5. What are your intended travel dates?
6. How long will you stay?
7. Have you previously traveled internationally?
8. Have you previously been granted or refused a visa for this destination or another country?
9. Do you have a sponsor or host in the destination country?
10. Do you have the financial and supporting documents required for the application?
These questions help the agent determine what information needs to be reviewed before proceeding.
PART 5 — General Tourist Visa Application Procedure
The exact procedure varies by country, but Jetliner agents can use this general framework.
Step 1 — Initial Visa Assessment
Collect basic information:
Nationality
Passport validity
Country of residence
Destination
Purpose of travel
Intended travel dates
Duration of stay
Previous travel/visa history
Sponsor or host information, if applicable
Step 2 — Determine the Appropriate Visa Category
Confirm whether the intended travel falls under the applicable tourist/visitor category.
Do not simply select “tourist visa” because the customer says they are traveling.
The purpose of travel must match the visa category.
Step 3 — Check Current Requirements
Requirements should be checked against the official embassy, consulate, immigration authority, or authorized visa application center.
Requirements may include:
Passport
Passport photos
Visa application form
Proof of accommodation
Flight itinerary/reservation
Travel itinerary
Bank statements or financial evidence
Employment certificate
Payslips
Leave approval
Civil documents
Travel insurance, where applicable
Sponsor documents, where applicable
Previous visas/travel records
Other destination-specific documents
Step 4 — Prepare the Application
Jetliner may assist the customer with applicable services such as:
Application form assistance
Appointment booking
Document checklist
Cover letter
Travel itinerary
Flight reservation
Hotel reservation
Document checking
General application guidance
The exact services should depend on the customer's visa package.
Step 5 — Book the Appointment
If the destination requires an appointment, the agent assists the customer in securing an available appointment through the appropriate system.
Examples can include:
Embassy
Consulate
VFS-type application center
TLS-type application center
Other authorized visa application provider
Step 6 — Prepare the Customer for Submission
Before submission, the agent should conduct a final document check.
Check:
Name → Passport → Dates → Forms → Photos → Financial documents → Employment documents → Accommodation → Itinerary → Insurance → Supporting documents
Step 7 — Visa Submission
Depending on the destination, the applicant may need to:
Attend personally
Submit documents
Provide fingerprints/biometrics
Attend an interview
Pay applicable government/visa fees
The agent should clearly explain which steps require the applicant's personal attendance.
Step 8 — Application Processing
After submission, the application is reviewed by the relevant authority.
Important:
Jetliner Express can assist with the application process, but the visa decision is made by the relevant embassy, consulate, immigration authority, or authorized decision-maker.
Step 9 — Receive the Decision
The application may result in:
Visa granted
Visa refused
Application requiring additional documents/information
Processing delay
Other outcome determined by the relevant authority
Step 10 — Post-Decision Assistance
If approved:
Check visa details
Verify name
Passport number
Validity dates
Number of entries
Permitted duration/conditions
If refused:
Explain the decision/document received
Avoid blaming the embassy or making assumptions
Review available options, where appropriate
Explain that reapplication or appeal possibilities depend on the destination and decision notice
PART 6 — Visa Documents
Common Supporting Documents
The exact requirements vary, but agents should understand the purpose of major documents.

PART 7 — The Agent's Role
A Jetliner Express Travel Consultant should understand the difference between:
What We CAN Do
Explain general requirements
Provide a document checklist
Assist with forms
Assist with appointment scheduling
Prepare travel-related supporting documents
Review documents for completeness
Coordinate with the appropriate visa officer/provider
Guide the customer through the process
Follow up where appropriate
Explain the application status when information is available
What We CANNOT Promise
Agents should never guarantee:
❌ Visa approval
❌ A specific processing time unless officially confirmed
❌ A specific visa validity period
❌ A specific number of entries
❌ That an applicant will definitely receive a visa
❌ That providing additional documents will guarantee approval
A professional statement is:
“We can assist you in preparing and submitting your application, but the final visa decision is made by the relevant embassy or immigration authority.”
PART 8 — Customer Communication
Customer: “Can you guarantee my visa?”
Agent:
“We can definitely assist you throughout the application process, from checking the requirements and preparing your documents to appointment and submission guidance. However, we cannot guarantee approval because the final decision is made by the embassy or immigration authority.”
Customer: “If I complete all the documents, will I definitely get the visa?”
“Having complete and properly prepared documents is important, but it doesn't guarantee approval. The visa officer will assess your application based on their requirements and decision criteria.”
Customer: “How long will it take?”
“The processing time depends on the destination, visa type, season, and the embassy or application center. We can advise you based on the current official processing information, but processing times can change.”
Customer: “Can you make my application stronger?”
“We can help you organize your application properly and make sure the required supporting documents are complete and consistent. We cannot create or provide false information, but we can guide you on how to present your genuine circumstances clearly.”
