UAE Visit Visa Processing — Agent SOP
Step 1 — Client Qualification
Before giving a price, gather the following information:
Is this the applicant's first time traveling to the UAE?
What is the preferred travel date?
How many days will the applicant stay in the UAE?
What is the purpose of travel?
Does the applicant have a sponsor/guarantor in the UAE?
What is the applicant's nationality?
Contact number and email address
Sponsor / Guarantor's contact number and Email address
Step 2 — Confirm With Flymode
Contact Flymode via the Jetliner WhatsApp group / Michelle and request:
Updated UAE visa requirements
Current visa fee
Applicable visa type
Processing time
Any nationality-specific restrictions
Any additional requirements based on the applicant's circumstances
Important: Do not quote an old price or requirements to the client without first confirming the current information with Flymode.
Your internal note regarding Nepal, Egypt, Pakistan and African nationalities should also be treated as subject to current Flymode confirmation, rather than as a permanent rule.
Step 3 — Send Requirements to Client
Once Flymode confirms the applicable requirements, send the client the requirements.
For the standard requirements in your workflow:
Passport bio page
Clear scanned copy
Passport should be valid for more than 6 months from the intended travel date
Signature should be visible where applicable
Recent 2x2 photo
White background
Clear/high-quality copy
No flash
Sponsor/Guarantor Passport
Clear bio page
Sponsor/Guarantor Emirates ID
Front and back copy
Sponsor/Guarantor UAE Work Visa
Clear copy
Agent reminder: Requirements can vary depending on nationality, visa type, sponsor/guarantor status, and current UAE immigration requirements. Always follow the latest list confirmed by Flymode.
Step 4 — Collect and Organize Documents
After receiving all requirements:
Google Drive Path:
Jetliner Cebu Email → Google Drive → Services → Passport / Visa → UAE
Create a dedicated folder using:
Applicant Full Name
Example:
JUAN DELA CRUZ
Upload all applicant and sponsor/guarantor documents into the correct folder.
Before proceeding, check that:
Documents are readable
No required document is missing
Names and passport details are consistent
Passport validity is sufficient
Photos meet the required specifications
Step 5 — Send Folder Link to Flymode
Copy the applicant's Google Drive folder link and send it to the Flymode WhatsApp group.
Suggested internal message:
UAE Visa Application – [Applicant Full Name]
Nationality: [Nationality]
Travel Date: [Date]
Duration: [Number of Days]
Visa Type: [Visa Type]
Complete requirements have been uploaded here:
[Google Drive Link]
Kindly confirm if the documents are complete and acceptable for processing. Thank you.
Step 6 — Request Flymode Invoice and Payment Details
After Flymode confirms the documents, request:
Sales invoice
Amount to be paid
Bank/payment details
Any applicable additional charges
Suggested message:
“Hi Michelle, kindly provide the sales invoice and payment/bank details for [Applicant Full Name] so we can proceed with the payment. Thank you.”
Step 7 — Issue Jetliner Express Invoice
Create the corresponding sales invoice through the Jetliner Express website / Order / Checkout.
Present the payment options available to the client, such as:
BPI bank transfer
Mashreq Neo bank transfer
Apple Pay
Google Pay
Credit card
Tabby
Tamara
For installments:
Tabby/Tamara installments are applicable only when the required UAE resident sponsor/guarantor conditions are met and subject to provider approval.
Step 8 — Verify Client Payment
Do not immediately pay Flymode after the client says that payment has been made.
First:
Check the payment received.
Verify the amount.
Confirm the payment reference/transaction.
Make sure the payment corresponds to the correct applicant.
Keep the proof of payment.
Only after verification, proceed with Flymode payment.
Step 9 — Flymode Processing
Once Jetliner Express has completed payment to Flymode:
Flymode will upload the applicant's documents to the applicable government portal and process the visa application.
Your current internal workflow indicates an estimated processing period of 5 working days, but agents should communicate this as an estimated processing time, not a guaranteed approval or release date.
Suggested client wording:
“Once payment and document verification are completed, we will proceed with the visa processing. The current estimated processing time is around 5 working days, subject to UAE immigration approval and any additional requirements.”
Step 10 — Visa Approval
Once approved, Flymode will send the electronic visa in PDF format through WhatsApp.
The Jetliner Express agent should:
Download the PDF.
Check the applicant's name and passport details.
Check the visa validity/entry information.
Send the approved visa copy to the applicant.
Remind the applicant to carefully check the visa conditions before traveling.
⚠️ Important Client Reminder — Entry and Stay
This part should be communicated clearly but professionally.
“Please make sure to follow the entry date and permitted stay indicated on your UAE visa. It is very important not to overstay your authorized period of stay.
If you need to stay longer, please contact us before your visa expires so we can check the current extension requirements and applicable fees with Flymode.
We recommend requesting an extension at least one week before the visa expiration date to allow sufficient time to check the requirements and process the application, subject to current UAE immigration rules and approval.”
Extension / Visa Modification
For any request involving:
Visa extension
Visa modification
Change of status
Tourist/visit visa to employment/work visa
Other immigration status changes
Do not promise the client that the request can be approved.
Instead:
“The requirements and procedures for visa extension or status modification may change depending on the applicant's nationality and current UAE immigration regulations. Let me verify the latest requirements and applicable fees with our UAE visa processing team first.”
If authenticated NBI/Police Clearance or MOFA-related documents are required for a particular application, explain this only after confirming the current requirement with Flymode/UAE authorities.
Recommended Agent Rule
I would add this to the SOP:
AGENT CHECKPOINT: Never rely solely on previous UAE visa prices, nationality restrictions, penalties, extension rules, or document requirements. Confirm the latest information with Flymode before quoting the client or accepting an application.
